Sweet. Thanks a million.

So now what?

First off, please read and absorb the code of conduct.

Second, if you haven’t already, please register and use the volunteer coupon code (as specified in the email).

Third, clear your calendar for the evening of April 29th – there’s a mandatory volunteers dinner at Ideas & Coffee at 6pm sharp. We’ll eat, discuss any final details (tweaks to the volunteer schedule, for example), get to know each other and set expectations.

We’ll be assigning roles to volunteers in the near future – here are brief descriptions of some of the glamorous things you may get a chance to do:

GREETERS & FLOATING HAPPINESS HELPERS

A friendly face, shaking hands and guiding people as they enter. Guiding to registration table, telling them about the “Happiness Bar”, showing them where the bathrooms and presentation rooms are located. If they are a speaker or sponsor, directing them to the proper location.

Greeters will be needed mainly at the start of the day and then once things get going, a few will be stationed throughout the venue (floating happiness helpers) to direct people who are looking for specific talks or rooms. It will be important that the greeters at the end of Saturday know where the after party is and be able to give out directions.

REGISTRATION TABLE – CHECKER

These volunteers will need to be quick with a pen and paper – they will locate the attendee’s name on the list and check them off.

REGISTRATION TABLE – SWAG CONFERRER

These volunteers will be responsible for managing the swag pack (including a water bottle and a reusable bag) and getting the appropriate badge and swag to each checker as they sign in attendees.

HAPPINESS BAR

While anyone can sit in the room and hang out, we will want dedicated WordPress professionals on hand to help other attendees with their design, development and content questions. Whatever your expertise is – we need you to make sure everyone’s happy!

SETUP AND BREAKDOWN – WESST

These volunteers will be asked to help with signs, materials, etc. for setting up pre-WordCamp. Volunteers will need to be on hand for unloading/loading vehicles carrying supplies. These volunteers will also lead the cleanup effort after WordCamp ends.

SETUP AND BREAKDOWN – AFTER PARTY

Same deal as above, at the after party.

ROOM MONITORS

These volunteers will be responsible for making sure no one is allowed inside rooms once speakers begin presentations. Once talks are done, they’ll clear trash and prepare the room for the next presentation.

HALL MONITORS

These volunteers will direct traffic in the halls and ensure everyone knows where they’re going.

SPEAKER INTRODUCTIONS / IT WRANGLERS

These special volunteers will introduce the speaker with a brief prepared statement. They’ll also make sure the IT situation is sound so speakers can deliver their remarks.

VIDEOGRAPHERS / TIME KEEPERS

These volunteers will operate camera equipment, making sure sessions are recorded – and at the same keep time to maintain the schedule.

FOOD & COFFEE GOPHERS

These volunteers need access to a car during the day – they’ll help bring food and coffee to WordCamp as needed.
